What we collect when you send an enquiry, why we hold it, how long we keep it and how to have it removed. Written for the people who actually use this site: engineers, buyers and contractors sending us process data.
This notice covers this website and the enquiry forms on it.
Most of what you send us is technical: a line size, a flow rate, a medium, a drawing. Some of it is personal — your name, your company, your email address and your phone number. This page explains what happens to both.
Who is responsible
The data controller is İNKOTEK ENERJİ SANAYİ VE TİCARET LTD. ŞTİ., established in Yenimahalle, Ankara, Türkiye. We are responsible for the personal data collected through this website and through direct correspondence with us.
What we collect
| Enquiry forms | Name, company, email address, telephone number, and the process information you choose to give us — line size, medium, flow, pressure, temperature, quantity and any free text or attachment. |
| Direct correspondence | Email and telephone exchanges about an enquiry, an order or a delivered item, including the drawings and specifications attached to them. |
| Document downloads | Where a download asks for an email address, that address and the document requested. |
| Server logs | IP address, browser and operating system, pages requested and timestamps, recorded by the hosting infrastructure. |
We do not ask for and do not want special categories of personal data. Please do not send identity document copies, health data or payment card details through the forms on this site.
Why we process it
Sizing an orifice plate, a fitting or a meter run requires the process data you send. Without it we cannot quote. Legal basis: performance of a contract, or the steps taken before entering one.
Tag numbers, calculation sheets, material certificates and dimensional reports are produced against your project details and kept with the job record. Legal basis: contract, and our legal obligation to retain manufacturing and commercial records.
Server logs are used to keep the site available and to investigate abuse. Legal basis: legitimate interest.
When you send a form, Cloudflare Turnstile checks that it comes from a person and not an automated program. It reads technical signals from your browser and sets no cookies. Legal basis: legitimate interest.
We do not use your data for automated decision-making or profiling, and we do not sell it.
How long we keep it
| Enquiries that do not become orders | Deleted within 2 years of last contact |
| Order and project records, including calculations and certificates | Retained for the statutory period for commercial records |
| Server logs | Rolling window, then overwritten |
Records held for a manufactured item stay with the job so that a plate delivered years ago can still be identified from its tag. If you ask us to delete personal data attached to such a record, we remove what we are not required to keep.
Security
Access to enquiry and order records is limited to the people who need it to do the work. Data is transmitted over encrypted connections, and project files are held on company systems with access control and backup. Drawings and specifications you send are treated as confidential and are not shown to other customers or used in published material without your written agreement.
Your rights
Under Turkish Personal Data Protection Law No. 6698 (KVKK) you may ask us whether we hold data about you, what it is and why, request that inaccurate data be corrected, request deletion where there is no longer a legal ground to keep it, ask that any correction or deletion be passed on to third parties we shared it with, object to processing based on legitimate interest, and claim compensation for damage caused by unlawful processing. Visitors in the European Union have the equivalent rights under the GDPR, including data portability.
Write to us with enough detail to identify your records — the company name and the enquiry or order reference is usually enough. We answer within thirty days.
Changes
When this notice changes we update the date in the margin and, for a material change, say what changed. The Turkish text prevails where the two versions differ.
